The QA/QC Document Controller is responsible for managing, organizing, and controlling all project and quality-related documentation in accordance with company standards and client requirements. This role ensures that all quality records are accurately maintained, properly filed, and easily retrievable for inspections, audits, and regulatory compliance.
Key Responsibilities:
- Manage the flow and control of all QA/QC documents (e.g., Inspection Test Plans, Quality Records, Method Statements, Non-Conformance Reports, etc.)
- Ensure documentation is compliant with ISO standards and company quality management system (QMS)
- Maintain and update document logs and databases (hard copy and electronic)
- Ensure timely distribution of QA/QC documents to appropriate stakeholders
- Coordinate with QA/QC Engineers and Inspectors to collect and verify quality documents
- Control the numbering, filing, storage, and retrieval of documents
- Assist in internal and external audits by providing requested QA/QC documents
- Track and ensure closure of NCRs, RFIs, and punch lists
- Monitor document workflows and implement improvements to document control processes
Qualifications and Skills:
- Diploma or degree in Engineering, Quality Management, or related field
- Proven experience (2+ years) in document control, preferably within QA/QC in construction, oil & gas, engineering, or manufacturing industries
- Familiarity with ISO 9001 and other quality standards
- Proficiency in document control software and MS Office (especially Excel and Word)
- Strong attention to detail and organizational skills
- Excellent communication and coordination abilities
- Ability to work under pressure and meet deadlines
Preferred Qualifications:
- Experience with EDMS (Electronic Document Management Systems) such as Aconex, Procore, SharePoint, etc.
- Training or certification in quality management (e.g., ISO 9001 Internal Auditor)
- Familiarity with construction or engineering documentation
