Roles and Responsibilities:

  1. Document Handling:
    • Receive, log, and distribute incoming and outgoing project documents.
    • Maintain hard and digital copies of drawings, contracts, reports, and specifications.
  2. System Management:
    • Use electronic document management systems (EDMS) to store and retrieve files.
    • Ensure documents are correctly named, numbered, and version-controlled.
  3. Compliance & Standards:
    • Ensure all documentation complies with company and regulatory standards.
    • Track document revisions and approvals for audits and inspections.
  4. Coordination:
    • Collaborate with engineers, contractors, and project managers for timely document submission.
    • Notify relevant teams of document updates or changes.
  5. Archiving & Retrieval:
    • Maintain an efficient document archiving system.
    • Retrieve documents as requested by project stakeholders.
  6. Reporting:
    • Generate reports on document status, pending approvals, and transmittals.
    • Monitor deadlines and follow up on delayed submissions.
  7. Security & Confidentiality:
    • Protect sensitive project information and control access to critical documents.
    • Ensure secure backup of all important files.
